Committee Responsibilities

Chairman/person

  • Represents the club
  • Chairs committee meetings and AGM
  • Acts as a point of contact for the club (together with the club secretary)
  • Keeps the members up to date
  • Reads out the notices and PBs on club nights
  • Prepares monthly comments for committee meetings and annual comments at the AGM
  • Chair annual meeting to decide club awards
  • MCs the annual awards evening
  • Manages calendar of events
  • Liaises with coaches, chair coaches meetings
  • Oversees successful organisation of events
  • Organise annual Christmas party

Secretary

  • Communications
  • Queries about membership
  • Contacts with governing bodies
  • Bookings (coaches, rooms, etc)
  • Membership – UKA affiliation
  • Committee meeting minutes and agenda (monthly basis)
  • Pushing updates to webmaster

Treasurer

The role is to control and manage the finances of the Club and the holder of the role is named on the mandate of the Club’s bank account. 

Specific tasks include: 

  1. Collecting the evening subs, either in person or via a third party;
  2. Collecting other monies, for example payments for kit, charitable donations, ticket prices etc;
  3. Completing record sheets for all income received;
  4. Handling and recording invoices and receipts for all payments either made or incurred on behalf of the Club;
  5. Making payments on behalf of the Club, whether by cheque, in cash or by online banking processes;
  6. Banking cash held into the Club’s bank account;
  7. Reporting on the financial situation to the Committee at Monthly Meetings;
  8. Maintaining records throughout the year and producing Year End Accounts (including Profit & Loss and Balance Sheet) for the purposes of the AGM

Club Captains

  • (up to 2)
  • Provide answers to running related questions (directly or indirectly)
  • Identify club/county championship races, and cross-country races
  • Know approx pacing of club members (to be able to match new members to groups)
  • Enter the club into the club races (e.g. cross country races, Fairlands Valley Relays)
  • Manage cross country team
  • Provide support at the club races
  • Write a monthly race report, summarising the race sheet
  • Write an annual race report for the AGM
  • Organise annual Alf Brown handicap race
    • Work out handicaps
    • Organise trophy
    • Organise marshals
    • Marshals briefing

Fundraising Officer

  • Advise and support nominated member with new charity liaison
  • Support with charity events over the year
  • Support fundraising ideas from members
  • Ensure representation from charity attend AGM

New members welcome

  • Manage the new members email account
  • Respond to enquiries from new runners
  • Ensure new members have a group to run with
  • Manage enquiries regarding the beginners course

Race director

  • Organise and manage the Stopsley 5 & 10 mile trail race and the Stopsley Challenge.
  • Organise the cross country 3 counties race to be held in Luton 2020 year.

Webmaster

Note: not a role to be voted for on the committee

  • Manage the club website, keep it up to date with minutes from committee meetings, AGM, strider of the month. 
  • Liaise closely with social media secretary to ensure the two platforms complement one another

Kit Manager

  • Liaise with kit supplier
  • Order trophies for strider of the month and annual awards
  • Monitor kit quality and look into new lines of clothing as suggested by members

Social Media

The social media coordinator is the individual/s within Stopsley Striders on the committee trusted with monitoring, contributing to, filtering, measuring and otherwise guiding the social media presence of the club. The role will involve sharing photos, promoting the club through all social media platforms, promoting events and hashtagging.

The purpose of a social media presence for Stopsley Striders is to:-

  • Share good news stories to our members and the wider running community
  • Promote our club to new members and people interested in getting into running
  • Advertise our events to get the maximum potential audience
  • Make the club appealing to beginners as well as more proficient runners
  • Admin the Stopsley Striders members group on facebook – approve new members to the group
  • Promote club events and races via social media

Membership secretary

As membership is growing this is becoming an increasingly difficult job for one person. This role with work closely with the club secretary and treasurer

Assistant treasurer

Again as the club is growing it is viewed that this role would benefit from being divided between two members.
